How are invoices issued to clients?

Invoices can be issued directly via Xero or manually sent through HubSpot

Email directly from Xero

To have an invoice issued to the client directly from Xero, once you have raised the invoice you can select "Approve and email to client" from the action item at the bottom right hand corner of the window.

Note, you will need to have approval permissions in your Xero account for this.

Alternatively, you may choose to save and download a copy of the email to attached to an email sent from within HubSpot or your connected email provider. To do this, select "Save" from the action item at the bottom right hand corner of the window. You will then see the created invoice within the XSync panel where you can download a copy to your local computer to use for attaching to emails.

What do the other Save and Approval action items do?

  • Save as draft: This will save a draft copy of the invoice you can come back to and work on later. No copy will be issued to the client at this stage.
  • Save & submit for approval: This will send a notification to the invoice approver (as per Xero) to be approved. Once approved, this will not issue a copy of this invoice to the client.
  • Approve: This will create the invoice in Xero and assign an automatic invoice number, however will not issue a copy of this invoice to the client.
